What we do.
We help media and events businesses get HubSpot set up properly, automate the manual stuff, and get their teams actually using it.
HubSpot Implementation.
A full CRM setup from scratch, or a clean migration from whatever your team has been holding together so far. We design the structure, configure the pipelines, bring your data across and train the people who will actually use it.
Contact & company structure
Properties built around how your team actually thinks about delegates, sponsors and accounts, instead of the generic defaults HubSpot ships with.
Pipeline configuration
Sales, sponsor renewal and any other pipelines you need, configured around the deal stages you actually use. Probabilities and forecasting set up to match.
Custom properties & lifecycle stages
Subscriber, delegate, sponsor, exhibitor and partner lifecycles modelled properly, with automation that moves people through them so your team is not updating records by hand.
Native integrations
Forms, marketing email, ads, meetings and the rest of the HubSpot toolkit wired together so nothing has to be entered twice.
Data clean-up & import
We dedupe, tidy and check your existing records before they go into HubSpot. Cleaning the data first saves you living with the mess later.
User onboarding
Each role gets a walkthrough built for them and a written playbook. People leave the session knowing what to click and why.
Sales Pipeline Design.
A pipeline that reflects how your deals actually close, not a textbook funnel nobody keeps up to date. Forecasts you can trust, follow-up your salespeople will actually stick to, and a pipeline that keeps itself tidy.
Deal stage mapping
Stages that actually mean something, with clear rules for what gets a deal into each stage and what moves it on. No more "qualified" meaning seven different things to seven different people.
Probability & forecasting setup
Forecasting based on your actual close rates as they build up, not guesswork. A monthly number you can plan around.
Automated task sequences
Follow-ups that trigger when a deal moves, when it goes quiet, and when a renewal is coming up. Your team stops relying on memory and nothing gets forgotten.
Reporting dashboards
Pipeline coverage, deal velocity, win rate by source, sponsor renewals coming up. The numbers you actually need to run the sales side.
Sales playbooks
Talking points, qualification questions and email templates for each stage, built into HubSpot where your team is already working.
Pipeline hygiene workflows
Stale deals nudged, missing fields flagged, dead deals archived. The pipeline stays tidy without anyone having to police it.
Events Automation.
Run the whole event cycle in HubSpot, from the first invitation through to the follow-up afterwards. All the hours your team currently loses chasing RSVPs and updating spreadsheets, handed back.
Registration & confirmation flows
Branded sign-up forms that adapt to who is registering, with instant confirmations and calendar invites. No spreadsheets and no last-minute scramble.
Attendee segmentation
Delegates, sponsors, speakers, VIPs and press all sorted automatically, so the right people get the right emails every time.
Pre/post-event email sequences
Reminders, logistics on the day, thank-yous and feedback requests, all sent automatically without someone in marketing hitting send each time.
Sponsor & exhibitor tracking
Deliverables, payment status and contract milestones tracked in HubSpot alongside the deal itself, so you can retire the separate sponsor spreadsheet.
Attendance reporting
Who registered, who turned up and who engaged, pulled together into sponsor reports so you are not building them by hand after every event.
Events platform integrations
Syncs with the major events platforms like Eventbrite and Bizzabo, so registrants land in HubSpot as they sign up rather than in a spreadsheet later. We will check what you use during discovery and confirm what is possible.
Integrations.
Connect HubSpot to the rest of your tools, whether that is finance, billing, your events platform or the custom thing someone built years ago, so customer data lives in one place and your reports update on their own.
Zapier workflow builds
Multi-step Zaps that handle the connections no off-the-shelf integration covers. Built to be reliable, documented and named clearly so they are easy to find later.
API & webhook connections
Direct integrations for the cases where Zapier is not the right fit, built to handle higher volumes and the trickier edge cases.
Data sync between platforms
Two-way syncs so HubSpot, your finance system and your operations tools all hold the same, up-to-date view of each customer.
Error monitoring & alerting
If a sync fails, it shows up in Slack straight away so it can be fixed quickly.
Documentation & handover
Every integration comes with written documentation, so your team can understand it, extend it or hand it to someone else without needing us there.
Ongoing maintenance option
Tools change over time. We keep an eye on your integrations and update them when a vendor changes something, so they keep working.
Team Training.
Get your team actually using the system. The best HubSpot setup in the world is wasted if people fall back to spreadsheets the moment they are busy.
Role-based training sessions
Sales, marketing, events and operations each get a session built for how they use HubSpot, rather than one generic overview that only half applies to anyone.
Custom playbooks & SOPs
Written guides covering what to do, when and why, kept somewhere your team will actually find them. New starters get up to speed quickly instead of learning by osmosis.
Live Q&A workshops
Open sessions where people bring the real, half-working things they are stuck on and we sort them out together. It sticks better than another slide deck.
HubSpot certification support
We help your team pass the official HubSpot certifications. Good for their skills, and good for keeping good people who feel they are growing.
Recorded session library
Every session recorded and organised so it is easy to search. The people who join next year can still learn from the training you run this year.
30-day follow-up support
A month of follow-up support after training, so questions get answered while everything is still fresh.
Monthly Support.
An ongoing partner rather than a one-off supplier. A set number of hours each month that flex across builds, fixes, training top-ups and the check-ins that keep your system healthy as the business changes.
Dedicated monthly hours
A set pool of hours each month you can spend on whatever matters most, whether that is builds, fixes, audits or advice.
Priority Slack/email access
A shared channel with the team who knows your setup. Most questions get answered the same day, and the urgent ones sooner.
Regular strategy check-ins
Monthly calls to look at what is working and what is not. We bring what we are seeing in the system, you bring what is changing in the business.
Platform health audits
A regular check across your integrations, automation, data quality and how the team is using things, so problems get picked up and sorted early.
Ad-hoc builds & fixes
New workflow, new property, a Zap that has stopped, a report that looks off. Send it through and we will take care of it.
Quarterly reporting
A short written summary of how the system is being used, what we shipped, and the few things worth doing next quarter. Easy to share with the rest of your team.
Questions about the work itself.
-
Do you only work with HubSpot?
We're a HubSpot Gold Solutions Partner and it's our Sales and Marketing platform of choice. But we've also built integrations with hundreds of other tools and platforms, including Monday.com, Xero, Salesforce, and many others. We start with what you need, not what we sell.
-
We're a small team - is this for us?
Most of our clients employ between 15 to 60 people. We're not building enterprise systems. We're building systems that fit how your team actually works.
-
What does the free consult actually involve?
It is a 30-minute call where we look at how your sales and marketing systems are running and show you where the biggest opportunities are. No pitch and no commitment. You will leave with clear next steps, whether or not you work with us.
-
How long does a typical project take?
It depends on scope, but most projects run 4 to 12 weeks. We have also worked with clients for over four years on an ongoing basis. We are happy to scope something small to start.
-
What makes you different from a big HubSpot agency?
You get senior people, with no handoffs to juniors learning on your account and no long onboarding before we touch your CRM or show ROI. Our team has spent over a decade inside media and events businesses, so we know what to do and how to do it best.
-
What does it cost?
It depends on what you need. Most engagements start with a paid Discovery Workshop, usually $1,500 to $3,500 depending on complexity. Projects generally run $10,000 to $30,000. Ongoing retainers start at $2,000 a month. You will always get a clear scope and price before any work begins.
-
We've tried a CRM before and it didn't stick. What's different this time?
Usually the problem is not the CRM. It is that nobody set it up for how your team actually works, and nobody trained them properly. We do both. Every system we build comes with hands-on training, and we stick around to make sure people are actually using it.
-
Can you help if we already have HubSpot but it's not working?
Absolutely. A lot of our work is fixing HubSpot setups that have gone sideways. Messy data, unused features, pipelines that do not match how the team sells. We audit what you have, clean it up, and rebuild what needs rebuilding.
-
Do you work with companies outside media and events?
We do. Our niche is media, events, and subscription businesses, but we have also worked with law firms, creative agencies, and professional services companies. If your sales and marketing systems need fixing, we are happy to have a conversation.
-
What's the first step?
The easiest first step is to book a free consult. There is a short form so we can learn more about your business, then we will review and get in touch about the call.
Start with a conversation.
Not sure what you need, or whether we are the right fit? Book a short call. We will look at where things stand and give you an honest picture of what is worth doing, whether that is with us or not. We will also try and provide some value so it's a good use of your time.
No obligation · No sales pitch · Just a useful conversation
